Compliance audits

The five monthly audits, as software

Medication Management for eMAR and for paper MAR charts, Controlled Drugs, Environmental Health and Safety, and Provider Quality: each one digitised from the workbook a working UK care group runs every month, question by question, and turned into a scored digital audit with its own section dashboard.

Four of them score each section as you answer (Met two points, Partial one, Not met none, N/A left out), so a manager can see mid-audit where the home stands. Provider Quality works the way quality leads expect: every item rated red, amber or green and mapped to the CQC key questions.

Questions take comments for evidence. Tick Action required on any failing question and the action appears instantly, carrying the question reference back to the audit. Complete the audit when every question is scored; reopen it later if something needs correcting. Completed audits cannot be deleted: they are your evidence.

The actions tracker

One list for every home, with overdue flags

Every action raised by any audit in any home lands in one cross-home list with the finding, what is to be done, who is responsible, the due date and the status. Add ad hoc items too, for the things no audit asked about.

Anything that cannot be fixed quickly goes on the Service Improvement Plan with a tick, and the SIP has its own view. The dashboard counts open actions, overdue actions and SIP items for every home you can see.

A Yearly overview shows every completed audit's score by home and month, each one clickable, so a director can see a year of compliance on one screen and open the audit behind any number.

Evidence on demand

Print any audit as a report for CQC

Open a completed audit and choose Print report: a clean document with the scores, every answer and comment, the actions raised and signature lines. Use Save as PDF in the print dialog for a copy to file or to send.

The residents register and the incident log export to CSV with whatever filter is on screen, and every export is recorded in the audit log, so you always know what left the system and who took it.

Occupancy and the dashboard

The whole group on one screen

Each home is registered once, with its address, capacity and CQC location ID. From then on occupancy takes care of itself: admissions and discharges in the register move the numbers, and the dashboard shows every home you are allowed to see the moment you sign in.

The overview shows homes, residents in, occupancy, average weekly fee, open enquiries, open actions, SIP items and this month's audits, with occupancy and funding mix drawn as charts and an incident severity breakdown. Pick any single home from the Viewing menu for its own figures and quick links, and choose which widgets you see with Customise.

A Due soon widget gathers this week's deadlines in one place for managers: actions, enquiry follow-ups, documents expiring and staff checks due.

From first call to admission, on one timeline

Enquiries live in their own section, out of the resident register. Every enquiry gets the standard pipeline (website enquiry, phone call, brochure, tour, assessment, admission) shown as a timeline. Steps before the way it arrived grey out, and follow-up dates are scheduled for you from your organisation's settings, editable on each enquiry.

Chase calls can be added with a click. When someone moves in, Convert to resident creates the resident record with everything carried over and links the two.

The resident register

Bring your register across, without the retyping

The register follows each resident from enquiry to discharge: room, care type, permanent or respite, funding type, weekly fee, top-up, NHS number, height and notes, scoped to the right home. Current residents show by default; discharged residents stay searchable.

Moving in is the easy part. Upload the spreadsheet you keep now and the importer recognises the column headings care homes actually use, splits names into first, middle, surname and known as, and accepts UK dates and pound signs as they are. Nothing imports if any row has a problem: you get a row-by-row report of what to fix, and residents already in the home are skipped, never duplicated.

On the weights log and the resident edit form there is no save button to hunt for: each field saves itself the moment you move to the next, with a green tick to confirm it.

The paperwork, on the record it belongs to

Every resident and every staff member has a Documents section. Upload scans or phone photos of care plans, assessments, consent forms, funding letters, DBS certificates, right-to-work checks, training certificates and contracts, as PDF, JPG, PNG, Word or Excel up to 10MB.

Give each one a category and an expiry date and it turns amber 60 days out and red once passed, so the Due soon widget can chase it. Every view of a document is recorded in the audit log.

Incidents

Log it once, and the monthly analysis writes itself

Anyone can log an incident, accident or near miss as it happens: the resident, what occurred, the injury, and any notifications made (A&E, safeguarding, RIDDOR, police, CQC). A resident's previous incidents over the last six months are counted automatically on each new one.

The AINMS monthly analysis builds itself from the log: totals, incidents, accidents, near misses, RIDDOR reportable, safeguarding referrals, A&E attendances and repeat residents, with breakdowns by type, location, injury severity and time of day and last month's comparison done for you. Filter by home, or see the whole group.

Weight monitoring

Weights, BMI and MUST, with no formulas to break

Pick the home and the month and type this month's weights down the list. Change, BMI and MUST score are calculated as each figure is saved. Set a resident's height once and tick the acute disease flag where it applies; both feed the score.

Sort the table by any column so the heaviest losses or highest MUST scores come straight to the top. The Trend analysis page shows losses, gains and MUST risk by month across the year, and the dashboard lists residents at high MUST risk.

Staff and compliance

Every check, with its renewal date worked out

Record each staff member's checks as they happen: DBS, right to work, supervisions, appraisals and every training course. The renewal date is worked out for you (DBS three years, training and appraisals a year, supervision two months) and editable if your policy differs. Renewals are added as new rows so the history stays, and the certificate itself can be filed under Documents on the same page.

The Compliance page shows every staff member with what has expired, is missing or falls due in the next 30 days, filterable by home or down to problems only, and the dashboard counts the problems.

Managers invite their own staff: an invite link scoped to the homes they oversee, shared however they like; the new starter sets their own password. The link works once and expires after 14 days. Organisation admins define roles (Senior Carer, Auditor, whatever fits) that unlock extra features, and managers assign them, or one-off grants, on a staff member's page.

Access and the audit trail

Scoped to the home, logged to the person

Three ranks cover a care group as it really is: organisation admins see everything, home managers run their homes, staff see the homes they are assigned to and nothing else. Scoping is enforced on the server in every query, not hidden in the interface. Deactivating a leaver ends their access immediately, open sessions included.

Every significant action is recorded with who, what and when: sign-ins, changes to residents, completed audits, closed actions, document views, exports. When someone asks who signed off March's medication audit, the answer takes seconds.
